Trackclerk · last updated October 16, 2026

Trackclerk is a meet-day companion for track & field. We built it to reduce the chaos of meet day, and we try to collect as little about you as possible to do that. This policy explains what we collect, why, and your choices.

What we store on your device

Most of what you enter stays on your own phone, in the app's local storage — it is not sent to us:

  • Your athlete's name, age, and team (used to find their events in public meet results)
  • Your events, routines, fuel preferences, and app settings
  • Which meet you're following

Clearing your browser data or removing the app deletes this information.

What we store on our servers

  • Alert sign-ups: if you opt in to weather/delay alerts, we store the email and/or phone number you provide, so we can send them.
  • Push notifications: if you enable push, we store the anonymous push subscription your browser issues, so alerts can reach your phone.
  • Family follow: if someone follows an athlete, we store the contact they provide to receive on-deck and results alerts.
  • Athlete name: when you opt in to alerts, push, or a follow, the athlete's name (and an internal id) is sent with that sign-up so alerts can say who they're for. We don't send their age or team.
  • Waitlist: if you join the waitlist, we store your email to send you an invite.
  • Shared meet directory: non-personal meet details (name, venue, dates) so the next person can find the meet.

Product analytics

We use PostHog (US) to understand how the site and app are used — which pages and features people reach, and whether sign-up and first use succeed. We record anonymous usage events and a random identifier; we do not send your name, email, or phone number as analytics properties.

Services we use

  • Public meet timing (e.g. AthleticLIVE, Flash Results): we read publicly posted schedules, heats, lanes, and results. We don't send them your personal data.
  • Open-Meteo for venue weather.
  • Resend (email) and Twilio (SMS) to deliver alerts you asked for.
  • Cloudflare hosts the app and stores the data above.

What we don't do

  • We don't show ads, and we never sell or rent your information.
  • We don't track you across other apps or websites.
  • We don't collect your location; venue weather uses the meet's location, not yours.

Young athletes

Track & field athletes are often minors. Trackclerk is intended to be set up and managed by an athlete's parent, guardian, or coach. We store only the minimal athlete details needed to find their events (name, age, team), primarily on your device. We do not knowingly collect personal information directly from children. If you believe a child's information was provided to us and should be removed, contact us and we'll delete it. If you are under 13, please have a parent or guardian set up and manage Trackclerk for you.

Your choices

  • Alerts, push, and follow are all opt-in. You can turn them off anytime in the app.
  • To delete an alert sign-up, push subscription, waitlist entry, or follow, email us and we'll remove it.

Keeping & deleting data

We keep server-side sign-ups (alert emails/phone numbers, push subscriptions, follows, and waitlist entries) only as long as they're useful for sending the alerts you asked for — typically through the end of the current meet season, or until you ask us to remove them. Expired push subscriptions are pruned automatically. You can request deletion at any time (see Contact).

Your rights

Depending on where you live — including the EU/UK under GDPR and California under CCPA — you may have the right to access, correct, delete, or port your personal data, and to object to or restrict certain processing. We do not sell personal information. To exercise any of these rights, email us. Because our providers (Cloudflare, Resend, Twilio, Open-Meteo, PostHog) are US-based, data you provide may be processed in the United States.
